Thursday January 14, 2021 at 7pm- High School room 112 Attendees: Greg Adams, Eric Black, Becky Black, Lisa Farley, Dave Henrie, Adam Bish Officer Attendees: Norine Henrie, President Glenn Meyers, Vice President Alesia Adams, Treasurer Connie Small, Secretary (virtual) Call to order: Norine Henrie Approval of November meeting minutes: Motion made by Alesia Adams and 2nd by David Henrie Treasurer’s Report- Purchased Marimbe and Vibraphone, Final payment to LASD for walk-in and indoor flags purchased in December. Current Total cash on hand- $34,510.06 Band Director- Adam Bish KIDA in limbo, possible virtual shows beginning March- will let students know about uniforms next week- can wear puffy shirts from last year, brown or black pants Props- 2 treasure chests, ship wheel, palm tree, spy glass (if you have a ship wheel- please contact Mr Bish) Spring Concerts- will be in person/outside, MAMS/HS maybe at Crouse Park (check with school for approval), ACES- students stand under overhand on bus loop, parents bring lawn chairs Cambell and Eden qualified for Regional Band- CONGRATULATIONS!! Facebook- if you would like to be an editor or contributor to the Littlestown Band FB page- please contact Mr Bish President: Norine Henrie 501(c)3 Status- Received approval letter from IRS effective 9/21/2020 Walk-in Status- LASD has all of the donations/money for the walk-in and is on order (will work on banner closer to install) Football squares- Currently in process- $10.00 per square Website update- Amanda Morgret Currently researching options, Should keep current website and update Booster’s Tab or create a new website for Boosters. Greg Adams (web and software developer) willing to move forward with next steps of either updating existing or developing a new site Other Business: FBLA basket results- Glenn Meyers- Thank you Glenn for organizing and submitting the FBLA basket. FBLA raised $1,020. For American Heart Association. Feedback on R&K subs- received good feedback. Suggested rotating between R&K and Shultz- person coordinating this fundraiser will decide Additional Business- Butter Braids will be sold 3/1/21 - 3/12/21. Late orders accepted though 3/19/21. No audience permitted at winter concert Plan to have an in person spring concert in May County Band has been cancelled/ Districts will be virtual Tri M doing 1st service day tomorrow No band trip- possible day trip President: Applied Sept 23rd for 501©3 status- IRS said 90 days LEFA will write check to school after donor checks are received- Booster donating $1,000., Soccer- $3,000., LEFA$2,500. Big Thanks!!- R&K Sub sale: 618 items sold= $3,374. We raised $2,081.75. Thank you Becky!! Littlestown Band Boosters is registered through the state of PA as a Non-Profit- we have filed the necessary IRS form requesting to be approved as a 501(c)3- cost is $275 Walk-in update: Once we have 501(c)3 approval- we can then gather all donations payable to Littlestown Band Boosters- cost is $14,450.00 Fundraiser update: Shannon Albright- R&K subs and Sandwiches- order forms will be handed out Tuesday- orders are due November 12th with a delivery date of November 19th (300 flyers delivered to all three schools- band & chorus)- Thank you Shannon!! Constitution and By-Laws Article VII Section II: Robert’s Rules of Order shall be parliamentary authority for all matters of procedure. Robert’s Rules of Order state: Taken from- http://www.rulesonline.com/rror-09.htm#54 (see page 2 of minutes) “54. Adoption or Acceptance of Reports. When the report of a committee has been received, that is, has been presented to the assembly and either read or handed to the chair or the secretary, the next business in order is the disposal of the report, the proper disposition depending upon its nature. (1) If the report contains only a statement of fact or opinion for the information of the assembly, the reporting member makes no motion for its disposal, as there is no necessity for action on the report. But if any action is taken, the proper motion, which should be made by some one else, is to "accept the report," which has the effect of endorsing the statement and making the assembly assume responsibility for it. If it is a financial report, as in case of a board of trustees or a treasurer, it should be referred to an auditing committee, as the vote to accept the report does not endorse the accuracy of the figures, for the assembly can only be sure of that by having the report audited. Whenever such a financial report is made, the chair, without any motion, should say it is referred to the auditing committee or auditors, if there are any. If there are none, then the proper motion is to refer it to an auditing committee to be appointed by the chair. When the auditing committee reports, this report should be accepted, or adopted, which carries with it the endorsement of the financial report.” In short: The regular reports of the Treasurer should simply be received and placed on file (and no motion is required to do this). The annual report of the Treasurer should be submitted to the auditors (whether that is an external company or an internal committee), and it is the report of the auditors which is approved. Donation, Checking account balance: $7,183.44, Money Market Savings balance: $40,847.94, Cash on Hand: $48,031.39 Budget was redone without the income from: musical, carnival, parades, & concessions (proposed budget: $62,800.) Fundraiser Schedule: Butterbraids: September selling/ October deliver Sub Sale: November selling with delivery around Thanksgiving Super Bowl Football squares (provided there is a super bowl) Donut Sale in February NCAA March Madness squares Butterbraids- April selling Waiting on updates from Cavalcade of Bands and PIAA Alpha Fire Company Carnival- Stacey stated that despite the weather they did OK Norine: Thank you Jen Wooton for the 2016-2019 shows- we received $200.
